Guidelines for Campus Screens
Designing Your Slide
- Required dimensions: 3840 x 2160 (landscape, 72 DPI, RGB)
- Content should be easy to read in 8 - 10 seconds.
- Set animated or video slides (MP4) to 10 seconds.
- Only list one event/date at a time to keep content relevant.
- Replace long URL links with QR codes.
- Evergreen slides (not advertising a specific event or date) must be refreshed every 60 days or they will be automatically removed.
- For assistance with designing a slide, please email email@example.com.
Submitting Your Slide
- Email firstname.lastname@example.org for review. (file type: PNG)
- If you created artwork in Canva, please send an editable link.
- Include requested duration for run time (max 60 days).
The Office of Communications and Marketing may edit your slide for clarity and appropriate graphic standards.
Any story to be featured must be submitted through Cari Gold at email@example.com or Victoria Reyna at firstname.lastname@example.org. We reserve the right to accept or reject items.
All requests to distribute information to students should be submitted to Campus Life.
The Office of Communications and Brand Marketing issues press releases for events, activities and achievements of the university. Requests for Coverage are issued to media to request their presence at an event. All information including, who, what, when, where and why must be submitted to Media and Public Relations Manager Michael Valdes at email@example.com. In order to have the best chance at media coverage, we recommend you submit the form two weeks in advance. Releases and/or RFCs will be sent to local media including newspaper, radio and tv stations. If you would like your information sent to trade publications specific to your area, please provide a list of the names of the publications. We will find the contact info.
Audience: general public
The Word Magazine is published in print and online at The Word Online. Stories are selected by an editorial committee. However, you may submit story ideas to Communications and Content Manager Stephanie Denning at firstname.lastname@example.org. In addition, there is an opportunity to include faculty/administrator achievements in the University Collective section. There is also a section titled Up Front that includes University highlights (campus news).
Audience: Distribution of over 35,000 includes alumni, board members, donors, and friends of the university.

The Word Today is a publication of the University of the Incarnate Word's Office of Communications and Brand Marketing to inform the community of UIW's news, activities and achievements. The Word Today is not distributed to students. Any events to be listed must be submitted through 25Live minimum of three business days in advance. You may request resources for marketing promotion, web calendar publishing, audio/visual, as well as resources managed by each location (SEC, ICC, Sky Room, Music, etc.).
It is the policy of the Word Today to post items for no more than three consecutive days. Lengthy informational items and events with longer timelines will be held for the online newsletter sent on Friday. We reserve the right to accept or reject items. Submit non-event announcements to email@example.com.
Bereavement Notice Policy - Bereavement notices for employees and their family members will be issued through The Word Today and must be submitted by a dean, department director or individual appointed by the dean or department director for the particular area in which the related employee works. All notices must be received by 4 p.m. on the day before they are to be posted. We reserve the right to edit the entry for length and grammar; however, all responsibility for the content of the notice remains with the department that submitted the notice.
Audience: All full-time and part-time employees of UIW, SACHS, UIW Board of Trustees, UIW Development Board, UIW Alumni Board, Friends of UIW and the Sisters of Charity of the Incarnate Word by request.
