Take the first step to soaring!

We’re excited to prepare for your Move-In Day at UIW. For new students, this day marks the start of decorating your room, meeting your roommate, and discovering campus life. For returning Cardinals, it’s the feeling of coming home. This is your one-stop shop for everything you’ll need to arrive ready and confident.

  • Move-in Acknowledgement: Complete emergency information before you check-in.
  • Room Inventory Condition (RIC): Complete via StarRez at the start of contract.
    This form opens the same day as your check-in and due within your first week on campus (only available at start of contract). We recommend inspecting your room before moving belongings inside—take note of any existing conditions and submit them through the form. This protects you from being charged for damages when you move out.

Vehicles in unloading areas must be actively unloading at all times. Once finished, please move your car to the designated parking areas marked with a car on the map.

Move-out

All students are required to schedule an appointment for any type of check-out:

  • Room Changes: Scheduled during room change periods
  • Semester Closing (end fall): Schedule with your Resident Assistant (RA)
  • Contract Ending (end spring): Schedule with your Resident Assistant (RA)
    • An RA will inspect the room, collect keys, and sign paperwork with you.
    • Failure to appear at your appointment incurs a $25 improper check-out fee.
    • Only Administrators will determine final damage assessments.
    • Fees are emailed by June 1; appeals due by June 30; resolutions by Aug 01.

We encourage all students to review the Housing Cancellation Policy, which outlines refund and fee guidelines for ending a housing contract.

  • Cancelling before occupancy may result in a partial or null deposit refund.
  • Cancelling after occupancy typically results in fees and forfeiture of deposit, unless for approved reasons such as graduation, withdrawal, study abroad, military activation, or exchange participation.

Schedule Your Departure: via Resident Assistant (RA)

Our halls close on the Friday preceding commencement at 4pm.


Check-out procedures during the fall semester differ from spring.

Returning to Room: If you are returning to campus housing to the same room for the spring semester, you’ll simply need to schedule a departure appointment with your RA before leaving for break. You do not need to remove your belongings, unless you have requested a room change - in that case, a full move-out is required.

  • Unplug electrical items, turn off lights, and defrost any mini-fridges.
    • Please keep mini fridge doors open and have a towel under the mini-fridge
  • Remove all trash before your check-out time.
    • Coordinate with suitemates on food removal
    • All trash should be disposed of in trash cans and/or recycling bins.
  • An RA will inspect the room and have you complete the Departure form.

Not Returning to Room: Students who are changing rooms for Spring semester are required to fully check out from their fall assignment. Students who do not plan to return for the spring term are subject to the Housing Cancellation Policy, which also outlines exceptions and special circumstances.

  • Remove all personal belongings and trash before your check-out time.
    • Set air conditioning to 72 and "auto" (where applicable)
    • Wipe down surfaces, drawers, and common areas.
    • Coordinate with suitemates on food removal; no items should remain in the unit.
    • All trash should be disposed of in trash cans and/or recycling bins.
    • Items remaining in room are considered abandoned with a disposal fee.
  • An RA will inspect the room, collect keys, and sign paperwork with you.
  • Failure to appear at your appointment incurs a $25 improper check-out fee.
  • Only Administrators will determine final damage assessments.
  • Fees are emailed by the Friday following graduation; appeals due by the Monday prior to the first day of class; resolutions sent by Friday of Spring move in.
    • This is a general timeline that may adjust due to updated academic calendars.

    • Wipe down surfaces, drawers, and common areas.
    • Coordinate with suitemates on food removal; no items should remain in the unit.
    • All trash should be disposed of in trash cans and/or recycling bins.
    • Items remaining in room are considered abandoned with a disposal fee.
  • An RA will inspect the room, collect keys, and sign paperwork with you.
  • Failure to appear at your appointment incurs a $25 improper check-out fee.
  • Only Administrators will determine final damage assessments.
  • Fees are emailed by June 1; appeals due by June 30; resolutions by Aug 01.

Housing Deposit

  • Deposits for non-returning students will be credited to student accounts.
  • If there is a remaining balance, the deposit will first apply to that amount.
  • Students with a $0 balance will receive a check or direct deposit.
  • International students must have a Wire Transfer Form on file with the Business Office.

Additional Information

  • Cardinals Give Back: Green Move-Out initiative where you can donate gently used items. Drop-off locations and accepted items shared via student email.
  • Extended Stay Request: Students who need additional time to move-out must submit a request. This includes international, graduation, or athletic requests. Stays beyond Saturday will incur a $27.14 per day charge. The form may be found in the Housing Portal.
  • Spring to Summer Transition Stay: Students who are registered for the Spring to Summer transition via the Housing Portal will have a delayed checkout appointment. Everyone else must complete a full checkout.
  • Summer Terms: Students who are registered for summer terms (excluding the Spring to Summer Transition Stay) must remove all personal belongings upon checkout and return to campus during their summer check-in.

I’m returning to the same room in the fall. Can I leave my belongings?
No. Residence halls are used by other departments during the summer, and maintenance and housekeeping projects take place. Please remove all personal items before check-out.


I’m returning for Summer Housing. Can I leave my belongings?
No. Only students approved for Spring to Summer transition housing may remain in their current room temporarily. All others must move out completely and will transition to their Summer I assignment during check-in.


I signed up for Spring to Summer Transition Housing. Do I have to check out?
If you’ve applied and been approved for Spring to Summer Transition housing, you may stay in your current room until your Summer I check-in. 


Can someone pick up my items after I leave? Can you hold them?
No. Residence Life and Housing Operations does not offer on-campus storage, and staff are not authorized to hold or store items.


I forgot to sign up for a check-out time. What do I do?
Contact your Resident Assistant (RA) directly to schedule a check-out time.


My parents can’t pick me up until Saturday. What should I do?
Submit an Extension Request via StarRez Student Housing Portal. Requests to stay beyond Saturday are reviewed for approval and incur a $27.14 per day charge.


I need to reschedule my check-out time. How do I do that?
Contact your RA directly to adjust your check-out time.
