Student Employment
UIW students may apply online for any available postings. Working as a student employee is an excellent way to make money while attending classes, as well as, gaining valuable work experience.
All students, including international students on F-1 or J-1 Visas, may only work up to 20 hours a week while classes are in session and during breaks.
If you are interested in the Federal Work Study Program which is different from Student Employment, please visit the Financial Aid Office for detailed information.
How to Apply for Student Employment
- Visit our employment website and click on “student”.
- Look through the available postings and click on “apply" for any position you are qualified for.
- Keep in mind that some positions may require a resume to be attached. If you need assistance with writing or updating a resume, you may contact the Career Services department.
- If your application is selected, you will be called in for an interview with the supervisor.
- Once you have been hired, you must visit Human Resources to complete new hire paperwork.
Please note: Some positions on campus, such as being a Resident Assistant (RA) have their own unique system to hire students. If you are interested in becoming an RA, contact Residence Life at (210) 829-6034.

Types of Student Hires
Open
Student Employee (SE)
- Undergraduate and graduate students are eligible for Student Employment.
- International students, both undergraduate and graduate students, are eligible for Student Employment.
- Student Employment positions are paid hourly.
Federal Work-Study (FWS)
- Undergraduate and graduate students are eligible for Federal Work-Study.
- International students are not eligible for Federal Work-Study.
- Federal Work-Study Program requires approval by the Office of Financial Assistance.
- Federal Work-Study positions are paid hourly.
Graduate Assistant (GA) Title Designation
- Must be a graduate or doctoral student.
- Per policy, work performed must be professional-level duties which provide work experience directly related to the student’s field of study. GA requests which do not meet this criteria will be denied.
- Graduate Assistants may be paid in the form of semester credit hours or stipend if certain criteria is met.
Student Position Descriptions

- Position descriptions are located in Cardinal Talent. The Cardinal Talent app can be found in Cardinal Apps.
- The department is responsible for creating job posting-note job posting data is sourced from existing position description (PD).
- Before creating the job posting, ensure that the PD exists and accurately reflects current duties.
- If PD is not in Cardinal Talent, department needs to create PD and submit to HR for approval. Note that PD must be approved prior to creating the job posting.
- If PD exists but requires adjustment, the department will need to submit a modification to the PD and submit to HR for approval. Note that the PD must be approved prior to creating the job posting.

Job Posting Process
Open
- During posting creation, the posting is in, “Draft” status. Once the posting is routed to the next level, a posting number is assigned. It is helpful to write down the posting number to assist in checking the location/status as it routes to the various approvers.
- Student job postings must be submitted to and approved by Level 2, Level 3, and the VP of Finance before HR can review and post.
- HR reviews and edits postings accordingly before they are published to UIW's Cardinal Talent- Job Search Website.
- HR policy requires jobs to be posted for a minimum of five calendar days before contacting candidates for interview.
Interview Requirements

- If the qualified applicant pool is 20 or less, a minimum of 3 must be interviewed.
- If the qualified applicant pool is 21 or more, a minimum of 5 must be interviewed.
- Note that initial interviews may be conducted by phone.
Student Pay Rates

- Student minimum wage starts at $11.00 per hour.
- It is recommended that all student pay follows the pay scale below:
- Undergraduate Students: $11.00 - $12.50 per hour
- Graduate Students: $12.00 - $13.50 per hour
Student Payroll Authorization Process

Current Payroll Forms
- Student Employment: Payroll Authorization- Student Employment Form (pdf). The most current version is dated 08/2023, located on bottom right-hand corner of the form. Requests submitted on outdated forms will be declined or returned.
- Graduate Assistant: Graduate Assistant Payroll Form. Requires a brief description of the job to be performed under Assignment Description, as well as identification of degree in the section titled, Supervisor Acknowledgement.
Submission of Payroll Forms
- Ensure all signatures are included on the Payroll Authorization, as indicated on each form. If position is grant-funded, secure respective signature from Grants Department.
- Submit finalized form to HR Recruiting Coordinator as an acceptor (not a required signature) via Adobe Sign. Payroll Authorization Forms requesting a signature will be declined.

- Student Hire Processing
- Once the student(s) has been selected, email the following information to the HR Recruiting Coordinator (both new and rehires):
- Student name
- Student ID number
- Job posting number
- New student hires will be sent new hire paperwork. Student rehires do not need to complete new hire paperwork.
- New hire paperwork includes I-9, W-4, Direct Deposit forms, and Background Authorization if needed.
- Once completed new hire paperwork is received, the student is notified to report to HR with supporting I-9 documentation.
- Students will NOT be allowed to start working until new hire paperwork is fully completed.
- Once completed, the student will be processed by HR and the Pay Authorization sent to Payroll for timesheet assignment.
- HR will email all supervisors with student names that have been cleared to start working.
